One honest exception before you read further: if your group is smaller than about 10, a private coach usually is not the best spend. That matters more than people expect: the 90 minute drive from Toronto becomes part of the event, with stories and context along the QEW instead of a silent shuttle ride. Pickup is wherever works for you, your office, a downtown hotel, or a single meeting point you choose anywhere in the Toronto area.
55 or more: multiple coaches, still one quote
Bigger than 54? We plan it as a convoy. Two or more coaches run the same itinerary with coordinated guides, staggered attraction entry times so your people are not standing in one giant queue, and a single quote and invoice for the whole operation. For you as the organizer, an 80 person trip looks exactly like a 20 person trip: one price, one contact, one plan.
And it scales well past 80. We have planned Niagara Falls days for conference groups and large corporations numbering several hundred people, arriving in coordinated coach waves with timed boat boardings and reserved dining. How far ahead should you book?
Four to six weeks ahead is comfortable for a single coach; multi-coach days and conference groups deserve more runway. Summer Saturdays are the first dates to go. The refund policy rewards early planners too: cancel 30 or more days out and you get 100% back, 15 to 29 days is 75%, 14 days is 50%, and inside 48 hours there is no refund. Booking early costs you nothing and holds your coach.
