One honest exception before you read further: if your group is smaller than about 10, a private coach usually is not the best spend. Pickup is wherever works for you, your office, a downtown hotel, or a single meeting point you choose anywhere in the Toronto area.

55 or more: multiple coaches, still one quote

Bigger than 54? We plan it as a convoy. Two or more coaches run the same itinerary with coordinated guides, staggered attraction entry times so your people are not standing in one giant queue, and a single quote and invoice for the whole operation. For you as the organizer, an 80 person trip looks exactly like a 20 person trip: one price, one contact, one plan.

And it scales well past 80. How far ahead should you book?

Four to six weeks ahead is comfortable for a single coach; multi-coach days and conference groups deserve more runway. Summer Saturdays are the first dates to go. The refund policy rewards early planners too: cancel 30 or more days out and you get 100% back, 15 to 29 days is 75%, 14 days is 50%, and inside 48 hours there is no refund. Booking early costs you nothing and holds your coach.
